Booking Terms and Conditions
In order to confirm clients’ reservation, Game Lodge Destinations requires you make a non-refundable 30% deposit payment at the time of making your booking. Failure to do so will result in your reservation automatically being cancelled. The balance of payment is due 12 weeks prior to the commencement date of your itinerary. Bookings made within 12 weeks prior to departure are subject to full prepayment at the time of confirming the reservation.
Please note that should you have been quoted any portion of your itinerary in a foreign currency and are required to make payment, your quotation will be converted to South African Rand prior to the transaction being processed due to foreign exchange regulations by the South African Reserve Bank. The rate of exchange on the day that the transaction is processed will be used to determine the equivalent Rand amount with any resulting foreign exchange differences or bank charges being for your account. The South African Reserve Bank prohibits South African companies from taking foreign payments and retaining the payment in foreign currency. The payment has to be converted to South African Rand before it is credited to the recipient.
ALL PAYMENT TO GAME LODGE DESTINATIONS IS REQUIRED BY MEANS OF A DIRECT BANK TRANSFER. It is the client’s responsibility to inform and instruct their bankers that the net invoice amount must equal the funds clearing into the Game Lodge Destinations bank account and that ALL bank charges are for the client’s account.
Flights and Payment thereof
Please note that in the event of flights being booked and secured by Game Lodge Destinations on behalf of the client, payment is required immediately by credit card due to the time delay of securing funds to us when paying by bank transfer. In addition to this, when booking flights with Game Lodge Destinations, we will require a copy of all passengers’ passports. Airlines require the full names of passengers as printed on the passports and will not accept changes once tickets are issued. It is a security procedure which will ensure there are no discrepancies. Game Lodge Destinations accepts no responsibility for incorrect passport numbers or incorrect spelling of full names. Please ensure that you provide accurate information to your Game Lodge Destinations specialist safari consultant.
Our Standard Cancellation Policy:
Cancellation prior to 12 weeks of travel – Full deposit is forfeited
Cancellation 12 – 8 weeks prior to travel – 50% of total cost is forfeited
Cancellation less than 8 weeks (60 days) prior to travel – 100% of total cost is forfeited
Price Increase
1) All Customer Quotations and Confirmation Documents presented by Game Lodge Destinations are based upon external supplier costs such as air fares, airport taxes, fuel surcharges, accommodation, car hire, park fees and gate fees which are outside of the control of Game Lodge Destinations. These supplier costs are therefore subject to change until final payment has been received or in the instance of air travel, until air tickets have been issued.
2) You agree that should any cost increases be applicable, it will be for your own account and shall be payable to Game Lodge Destinations or as otherwise instructed by Game Lodge Destinations.
3) You also acknowledge that:
a) Airlines reserve the right to levy additional or increased airport taxes and fuel charges – without notice – at any stage prior to a flight and any such costs increased as a result of an increase affected by the airline will be for the client’s account and shall be payable to Game Lodge Destinations or as otherwise instructed by the airlines.
b) Road transportation companies such as transfer and car rental companies reserve the right to levy additional charges due to fuel price increases and/or government road levies – without notice – at any stage prior to arrival and any such additional costs incurred as a result of an increase affected by the road transportation company will be for the client’s account and shall be payable to Game Lodge Destinations or as otherwise instructed by the road transportation company.
c) Government/national bodies, concession owners and other such parties involved in the running of private reserves or public national parks reserve the right to levy additional or increased park fees – without notice – at any stage prior to arrival and any additional costs incurred as a result of an increase affected by such parties will be for the client account and shall be payable to Game Lodge Destinations or as otherwise instructed by such parties.
Travel Insurance
Fully comprehensive travel insurance is mandatory and we strongly suggest that the travel insurance taken out covers any and all eventualities including return of mortal remains. We have also found that a top up to ‘cancel for any reason’ is a valuable worthwhile additional cost to include in your travel insurance. It is important to note that for this comprehensive top-up cover, most insurance companies require your travel insurance policy to be taken out and paid within 24 hours of confirming your travel arrangements.
Passports and Children
Please note that anyone (adults and minors) traveling to Southern Africa must have two consecutive blank pages in their passport which lie side by side when the passport is open (i.e. a left- and a right-hand page). Passengers traveling to Southern Africa with passports which do not comply with these requirements, will either be stopped from boarding the aircraft or risk deportation on arrival in Southern Africa. In addition, a parent traveling with children, without the other parent, will need a letter of consent from the absent parent. The letter of consent must be certified by the police.
